The Registrar is responsible for the safe handling and storage of all incoming/outgoing loans, processing and maintaining all related forms/records, coordinating logistics for art transportation (regionally, nationally, and internationally), liaising with insurance providers, and advising on handling and installation procedures in regards to the safety of the loans.

The CJM is a non-collecting museum. The Registrar is responsible for the care, custody, and condition of all works of art at The CJM and those on tour under the auspices of The CJM. They will ensure The Museum’s compliance with the American Alliance of Museums’ best practices and to maintain and disperse The CJM’s Facility Report as needed.

The ideal candidate will have demonstrated expertise in the registration field, familiarity with art, cultural objects and institutions.

ESSENTIAL JOB RESPONSIBILITIES:

  • Develop, maintain, and enforce registration policies and procedures.
  • Develop and administer registration documentation including receipt/release forms and aspects of loan agreements.
  • Provide input to exhibitions budget development, and manage registration activities within approved budget.
  • Administer exhibitions insurance coverage, including calculating annual requirements, processing claims, requesting and distributing insurance certificates.
  • Maintain exhibitions archive, registration records and logs, including loan–ledger and EmbARK database.
  • Maintain and update The CJM Standard Facility Report, in consultation with Chief Preparator and the Facility Site Management team. Distribute reports to lenders, address questions and special requests.
  • Monitor gallery and storage environments, and security related to art storage and exhibitions. Advise Facilities and/or Security departments on requirements specific to each exhibition.
  • Advise on The Museum’s disaster preparedness planning and protocols for objects on loan, in consultation with the Facility Site Management team.
  • Evaluate and develop recommendations on potential renovations, and capital equipment needs related to art storage and exhibition spaces throughout The Museum.
  • Collaborate with other departments (such as Development, Public Programs, Education, and Event Rentals) to address exhibitions requirements in connection with their programs.
  • Perform maintenance and upkeep of work areas, keep up-to-date inventories of equipment and supplies, and notify team of restocking and/or new purchase needs.
  • Identify and conduct technical research related to the production of artwork or other exhibition materials.

LOANS, INSTALLATION, AND DE-INSTALLATION

  • Coordinate safe handling, packing, crating, and transportation of artworks to and from The Museum, and/or touring venues.
  • Oversee safe methods of display including framing, mounting, and furniture making.
  • Generate condition reports and perform routine checks of objects on loan, ensuring compliance needs during transportation, storage, and display. Ensure maintenance of exhibitions per lender requirements.
  • Coordinate receiving and releasing of objects on loan stored both in house and in off-site storage. Address issues related to cataloguing, care, and storage of objects under the care of The CJM.
  • Establish guidelines for external couriers, artists, and artists’ assistants on site during installation and de-installation.
  • Oversee installation of traveling exhibitions at other venues and act as CJM courier as needed.
  • Perform other exhibition related duties as assigned.
