The Utah Museum of Fine Arts (UMFA) at the University of Utah seeks a highly motivated and organized individual to support the Collections team in an energetic, creative, and supportive environment. SUMMARY
Under the supervision of the Director of Collections, the Associate Registrar oversees all records of objects belonging or on loan to the UMFA. Primary functions of the Associate Registrar’s role include, but are not limited to:

Loans
Manage the logistics of incoming and outgoing loans
Collections Management
Assist with the preservation and care of objects belonging or on loan to the UMFA to maintain a high professional standard in the physical care, storage, transportation, and exhibition of objects.

Collections Records
Oversight and maintenance of forms, legal documents, physical records, and digital database records associated with accessioning, deaccessioning, cataloging, loans, packing, shipping, location, inventory, insurance, and storage of museum objects.
This position works in close collaboration with the Museum’s Executive Director, and staff members of the Museum’s Collections, Curatorial, and Development departments to ensure coordination and alignment of Museum-wide policies, procedures, and priorities.

PRIMARY JOB RESPONSIBILITIES
· Art Handling and Inventory
Duties include the physical handling, moving, packing, and unpacking of museum objects, moving of shipping crates, and transportation of objects. The Associate Registrar assists with exhibition installation and deinstallation as needed, and oversees all object location control. They are responsible for executing on-going permanent collection inventory and maintaining associated records. Performs condition reports as needed.
· Loans
Manages the logistics of incoming and outgoing loans, including legal forms, correspondence, condition reporting, packing and unpacking of objects, and transportation or shipping arrangements. Plays a key role in management of traveling exhibitions and General Facilities Reports. They may also be required to travel as a courier for museum objects.
· Collections Access
Oversees and manages information on Museum collections, including assisting with physical access for staff, students, faculty, researchers, and other visitors upon approval.
· Accessioning and Deaccessioning
Oversees tasks associated with accessioning and deaccessioning objects into/from the Museum’s collection, including legal forms, documentation, database records, correspondence, cataloging, and arranging transportation or shipping.
· Information Management
Is a key player in developing, updating, and maintaining the Museum’s CMS (Argus). The Associate Registrar assists in developing information standards and is responsible for the Museum records archive (both digital and physical). Assists Museum staff and members of the public with archive research.
· Insurance
The Associate Registrar is responsible for ensuring the Museum maintains appropriate insurance coverage for objects belonging or on loan to the UMFA.

ADMINISTRATIVE AND OTHER DUTIES
The Associate Registrar is an important member of the Museum staff and key personnel within the Collections department. In alignment with the Museum’s mission and strategic goals, they contribute to the overall planning and implementation of policies and procedures and assist in the identification of departmental and budgetary priorities. The Associate Registrar attends regular meetings and participates in cross-departmental project committees. Maintains knowledge of industry practices by participating in relevant professional organizations.
The Associate Registrar may have the opportunity to supervise other members of the Collections department including part-time staff and interns in the absence of the Director of Collections. They will work collaboratively to share priorities and tasks with other members of the Registration team.
