Position Summary
The Assistant Registrar is a member of the Exhibitions Department and works in all areas of registration, collections management, and exhibitions. The Assistant Registrar works in partnership with Registration, Curatorial and Preparation departments, and also works closely with other departments including Marketing & Communications and Learning & Engagement.
Major Responsibilities
Assist with all areas of registration and collections management, including but not limited to:
- Process and catalog new acquisitions and permanent collection works
- Create and maintain physical and digital records and files, and may perform research to clarify and update information on collection works
- Make packing and shipping arrangements for new acquisitions, incoming and outgoing loans, and exhibitions
- Oversee packing, handling and movement of artworks
- Perform and update condition reports
- Assist with annual collection inventory
- Generate loan agreements, Deeds of Gift, receipts, checklists, schedules, inventories, and other documents as needed
- Act as database administrator for collection database; create and update collection records; generate reports; perform data back-ups; serve as primary contact with database vendor (currently PastPerfect); and assist with research and planning for future database conversion
- Manage rights and reproductions, administer and secure rights for permanent collection, loans, and exhibition publications; maintain image files and archives; coordinate and schedule installation and object photography with contract photographers; fulfill image requests from internal and external sources
